Requests for Data Reports

As the official custodian of Students’ Educational Records, the Office of the University Registrar protects our students by evaluating requests for student dataFaculty, classified staff, and students conducting approved research may request data for legitimate educational usage.  All individuals requesting data are required to complete FERPA training prior to receiving student records from the Office of the University Registrar.

Requests for data reports may be submitted using the Data and report request form. Any requests to include race, ethnicity, or gender must be approved by Office of Access, Compliance, and Community.  Please note that their approval on those data elements does not guarantee that the request itself meets the legitimate educational purpose requirement or will be fulfilled as desired.

Banner Administrative Systems Access (Student Academic Records)

The Registrar’s Information Technology team manages access to student records in Banner Admin Apps, Patriot Web Self-Service for faculty and advisors.

Information on requirements and entry to the request workflow are available on the Banner Admin Request Process page.  Note that anyone requesting access to student records must attend FERPA training or provide proof of completion. We encourage those wishing to have Banner Admin Apps access additionally attend navigation training.

Reporting Access 

The Registrar’s Information Technology team manages access to the student-related roles in the Academic Data Mart.  Information on MicroStrategy and a link to the request form are available on the MicroStrategy Services page.  Anyone requesting access to student-related data must attend FERPA training or provide proof of completion.

Enrollment Planning Reports  

Course enrollment information is available through the Provost’s Enrollment Planning and Administration office.  They compile and report enrollment information on the Mason Square, Fairfax, and Science and Technology campuses, and the Loudoun instructional site through MicroStrategy.
