Degree Audit Exceptions
We are pleased to share that effective Monday, June 2nd, substitutions, exceptions, and waivers will be processed directly within the Mason Degre Audit environment.
The Exceptions Workflow and Program Elective Approval (PEA) Workflow will replace the Substitution/Waiver Form (PDF) and PEA (Dynamic Form). The new workflows will be a more collaborative and transparent process, since users will be able to submit and approve requests directly within the audit. Students will also have the ability to view the exception requests and track their approval process in real time.
Substitution/Waiver forms (PDF) and PEA forms (Dynamic Form) will be accepted through Monday, June 30th. After that date, all new exception requests must be submitted directly within the Mason Degree Audit.

How to Submit an Exception
Anyone marked in Banner as an Advisor can submit an exception request. Success Coaches cannot submit requests. The request is submitted within the degree audit, wherever in the audit the exception needs to take effect.
Users who have permission to initiate a substitution or exception will see a series of three dots next to categories or courses:

Exception Approval Process
The audit exception process is managed using workflows. Once an exception is submitted, it will require review and approval from a Level 1 (program) and Level 2 (college) approvers. Approval is logged directly within the platform, and the approver information and timestamp is visible to advisors, approvers, and students.
The Requests tab is where all submitters and approvers can view and manage pending requests:

Definitions
Exception Term | Definition |
---|---|
Exclude Courses | Allows the advisor to select courses that cannot count for the requirement. |
Substitution | Allows for a different course to satisfy the requirement. |
Waive this Requirement | Changes the audit so that the student does not have to satisfy the requirement at all. Any sub-categories will also be waived. If a requirements has been waived, and total credits need to be adjusted, please submit a second exception request to modify the constraint. |
Waive or Modify Requirement Constraint | Allows the advisor to change the constraints for the category. Advisors can change a primary constraint. Advisors can change or remove a secondary constraint. Note: this is not available at the course level. |
